Read the OpenVet Privacy PolicyOpenVet Bridge ("Bridge", "we", "us", or "our") is a Chrome extension that connects supported veterinary practice management systems ("PIMS") with OpenVet.
This Privacy Policy explains, in plain language, what information OpenVet Bridge can access, why it needs that information, how information is transferred and stored, who may receive it, how optional AI features work, and what choices you have.
OpenVet Bridge allows authorized veterinary practices to connect their PIMS with OpenVet.

This is sensitive because it can allow an authenticated PIMS connection. After explicit authorization, required session information may be transmitted to OpenVet and stored as part of your PIMS connection.

We aim to avoid including unnecessary patient or authentication information in technical logs.
Bridge is not designed to collect your general browsing history.
Bridge operates on supported PIMS websites and services required for the integration. It does not intentionally collect information from unrelated websites.
OpenVet does not use PIMS connection information or patient information to create advertising profiles or personalized advertisements.
Bridge uses your existing PIMS browser session to establish the connection with OpenVet. This may require access to authentication information that your browser already uses to keep you logged into the PIMS.
Bridge never collects, sends to OpenVet, or stores your PIMS username or password. You always sign in to your PIMS directly on the PIMS website.
After you consent, the only PIMS information Bridge sends to OpenVet to keep the connection working is session information, not login details:
OpenVet stores this session information encrypted (see Section 12). Session information expires or can be revoked in the PIMS itself, and it does not reveal your password.
ezyVet may lock an idle session and ask for the password again. When this happens, Bridge can show a prompt so you can unlock the session without switching tabs.

The purpose of this process is to maintain the integration and retrieve information you have authorized OpenVet to access.
Closing a browser tab does not necessarily delete information that has already been transmitted to OpenVet.
When you import or retrieve information from your PIMS, the information may include sensitive veterinary patient and clinical information such as:
This information is transferred to OpenVet to provide the features you request.
Once imported, patient information becomes part of the practice's OpenVet records and is handled according to the applicable OpenVet data-handling practices.
When you choose to import a patient, Bridge may:
Patient import is intended to be one-way. Bridge does not intentionally write imported clinical information back to the PIMS.
You should only use Bridge to transfer information that you and your practice are authorized to transfer.
Bridge may provide an optional AI-powered feature to help identify patient and clinical fields on supported PIMS pages, such as patient names, species, diagnoses, notes, and similar information.
This feature is separate from the basic PIMS connection and requires separate consent before the information is processed.
When enabled:
The extension communicates with OpenVet. It does not directly send information to an external AI provider.
Before anything is sent, Bridge removes login, authorization, password, cookie, billing, invoice, and payment fields, and only accepts samples from clinical pages (such as patient, visit, SOAP, lab, and vitals pages) on supported PIMS websites.

Retention by OpenVet: OpenVet does not store the page samples sent for field recognition. OpenVet keeps only technical information about the request, such as the PIMS website, whether a patient or note was detected, and a confidence score. The resulting field map is cached in your browser so later pages on the same PIMS can skip AI processing.
Use of data for AI model training: the AI providers used by OpenVet are contractually prohibited from using your content to train their general-purpose AI models.
Do not enable this optional feature unless you understand and accept the separate consent presented for AI processing.
We use information accessed through Bridge to provide, maintain, secure, and improve the PIMS integration and related OpenVet functionality.

We do not use PIMS authentication information or patient information for unrelated advertising purposes.
Information processed through Bridge may be received by OpenVet and service providers that help us operate the service, such as providers for:
These providers are expected to process information only for permitted business purposes and under applicable agreements.
When you enable the optional AI feature, relevant filtered information may be processed by OpenVet's configured AI providers, which are listed in Section 8 together with retention and model-training details.
OpenVet does not sell PIMS credentials, patient records, or personal information for advertising purposes.
OpenVet does not use PIMS authentication information for personalized, targeted, or interest-based advertising.
PIMS authentication information and patient clinical information are sensitive.
OpenVet employees and other authorized personnel do not access this information for general browsing or unrelated purposes.

We use reasonable technical and organizational measures intended to protect information processed through Bridge, which may include:
PIMS session information is treated as sensitive authentication information.
No electronic storage or transmission system can be guaranteed to be completely secure.
Encryption of stored PIMS session information: PIMS session information is stored encrypted in a dedicated secrets vault, separate from the rest of the practice's data. The encryption key is kept outside the database, so a copy of the database alone cannot be used to read it.
Who can access stored PIMS session information: only OpenVet's servers, using a restricted server-side credential, when they need it to make a PIMS request you have authorized. It cannot be read from the OpenVet website, the OpenVet app, or the extension.
Employee/support access controls: OpenVet personnel do not view stored PIMS session information in the normal course of business. Any access is limited to authorized personnel for the purposes described in Section 11.
Different types of information may be retained for different periods.
PIMS session information may be retained while it is necessary to maintain an authorized PIMS connection and provide the integration.
Retention period: stored PIMS session information is kept until you disconnect the PIMS in OpenVet (see Section 14), and is replaced whenever Bridge captures a newer session. It is not deleted on a fixed schedule, but PIMS sessions expire or can be revoked in the PIMS itself, after which the stored copy no longer works.
Imported patient information may remain as part of the practice's OpenVet records and may be subject to applicable OpenVet retention requirements.

You can disconnect your PIMS connection when you no longer want OpenVet to use that connection.
After disconnection, the connection should no longer be used for new integration activity, except for processing already underway or other activities permitted under applicable requirements.
Disconnecting a PIMS connection does not necessarily delete patient records that were previously imported into OpenVet.
You can disconnect a PIMS connection from your OpenVet account.
What happens to stored PIMS session information?
When you disconnect, OpenVet immediately deletes all stored session information for that connection and marks the connection as disconnected. OpenVet keeps only non-secret details, such as which PIMS and practice the connection was for, so you can reconnect later.
What happens to imported patient records?
Patient records already imported into OpenVet stay in the practice's OpenVet records. To have them deleted, see Section 15.
Removing the Bridge extension from Chrome clears the information Bridge keeps in your browser, but does not disconnect the PIMS in OpenVet. To stop OpenVet from using a connection, disconnect it in OpenVet.

Some information may need to be retained for legal, security, fraud-prevention, audit, or other permitted purposes.
Bridge may temporarily store information in your browser while it is operating.
For example, temporary session information may be stored to maintain an active PIMS connection or to recover from a browser extension service-worker restart.
Browser storage is separate from OpenVet server storage.
Temporary browser information may be removed when a session ends, the browser restarts, or the information is no longer needed. Information already transmitted to OpenVet has a separate server-side lifecycle.

If specific information is required for a security investigation or troubleshooting purpose, access is limited to authorized personnel and permitted purposes.
When using Bridge, you are responsible for:
Bridge connects to third-party PIMS platforms.
The privacy policies, terms, security practices, and other rules of those PIMS platforms may also apply to your use of their services.
OpenVet does not control third-party PIMS platforms.
Your practice should ensure that the use and transfer of information through Bridge is permitted by applicable agreements, policies, and PIMS terms.

If OpenVet becomes aware of a security incident involving information processed through Bridge, we will investigate and take appropriate action under applicable law and our incident-response procedures.
Where required, we will notify affected users, organizations, or authorities.
We may update this Privacy Policy when we introduce new functionality, support new PIMS platforms, change data practices or service providers, improve security practices, or are required to make changes by law.
For material changes, we will provide appropriate notice and obtain consent where required.

OpenVet Bridge connects your PIMS to OpenVet.
To make the connection work, Bridge may use browser session information that keeps you logged into your PIMS, including session tokens, authentication cookies, and session identifiers.
After the required consent, this information may be sent to OpenVet and stored so OpenVet can maintain the connection and retrieve information you have authorized.
Bridge never collects or stores your PIMS username or password. OpenVet receives only session information, which is stored encrypted.
If ezyVet locks your session and you type your password into Bridge's unlock prompt, the password goes directly to ezyVet. It is never sent to or stored by OpenVet.
When you import a patient, information such as demographics, medical history, SOAP notes, diagnoses, medications, vaccinations, laboratory results, appointments, documents, and owner/client information may be transferred to OpenVet.
Bridge retrieves information from your PIMS for OpenVet. It does not intentionally modify medical records in your PIMS.
If you use the optional AI field-recognition feature, relevant filtered PIMS information may be processed to identify patient and clinical fields. A separate consent is shown before this processing.
You can disconnect your PIMS connection and request deletion of applicable information according to OpenVet's retention and deletion procedures.
